Success Through Parent Communication Folders

Here is a simple concept that will help even the busiest of teachers keep track of parent communications in their classrooms. In today’s climate, it is important that the educator make not of all good and bad instances in an effort to both facilitate learning and to protect your job.

Without getting into why such a system is needed, just think back on those times when you either couldn’t recall a parent conversation or couldn’t prove that the contact was made. Wouldn’t it have made your life easier if there was never a question of if or when? Here are a few steps to take that will do the trick!

Step 1: Even if you have created a student file to keep track of work, individual schedule tracking, 504 implementation or grading and attendance, create a second file which is kept separately.

Step 2:  In this second file, either tape a sheet of loose leaf paper to the inside of the folder. Or you can create a simple Excel spreadsheet that has a column for date and a column for description.

Step 3: Print out any emails that are sent or received to or from the parents and include them in the folder. Also be sure to collect all notes received and copies of notes sent home.

Step 4: Use the attached piece of paper to keep a log of all meetings, conferences and phone calls along with the topic and outcome of the discussion.

            So by following these easy steps, any teacher can become more organized and much more relaxed concerning parent interactions whether in a district of parents that are nowhere to be found or a district of parents who never leave the building.

    Be careful not to let any protected information such as 504 Plans in these folders. Those records need to be closely monitored by administration. These folders should only be used for communication tracking.
