Steps to Allow Employees to Work From Home

With more and more technologies being developed and released, more and more employees are working from home.  With the help of the Internet, telecommunications services, and software programs, employees can do almost everything they do in the office in the comforts of their own home.  Working from home can offer a number of benefits for employers and employees.  Not only will it save your employees money, it may also save you money on your operational costs.  If you are ready to benefit from telecommuting as an employer, it is time to find out what steps you need to take to set work-at-home agreements in force.  Here are some tips to consider:

Start By Writing Out a Work-at-Home Agreement

Every state in the nation is an “at-will” state except for Montana.  This means that you as an employer can hire, fire, and demote for any reason aside from demotion.  When you allow your employees to work from home, these laws still apply.  This is why you need to develop a comprehensive and detailed work-at-home agreement.

The agreement should protect both the employer and employee and describe what tools and technologies that employer will pay for or provide.  You should also stress that all of the same business rules apply for telecommuters and that the employee must check-in on a regular basis.  If you are not sure what to include in the agreement, it is a good idea to contact an employment lawyer to help you.

Remote Access to Company Software

After you have developed an agreement, you need to take steps to keep your employees working from home, connected.  If your employees need to access the Internet or they need access to confidential business programs, you are going to have to have your technology team set up remote access programs, like QuickBooks remote desktop

You can either send your employee home with a laptop that is loaded with the programs they need or use remote access software programs on a personal desktop computer.  You also need to make sure that your IT department can set up monitoring programs so that the employee can be monitored.  Anti-virus software is also extremely important because you want to keep your confidential business files private.

Setting Up Payroll

When you allow your employees to work from home, you may change their pay or leave them at the same pay rate.  It depends on their new responsibilities, whether or not they are paying for Internet, and if the employer feels that the opportunity deserves lower pay.  You must find a way for your telecommuting employees to report their hours for payroll. There are programs set up specifically for remote work such as quick books online. You may also need to change the set up of pay to direct deposit or check by mail.  This is something you will need to discuss with your employees.

These are just some of the many steps you must take when you decide to allow your employees to work from home.  By giving your employees access to business files and business systems, they can do their job from home.  Studies show that many employees who are trusted to work from home will work twice as hard to keep their supervisor’s trust.  Reduce your operational costs, make your employees happy, and offer your workforce the option to work from home.  Once you have everything setup, you will notice a huge difference in employee morale.
